We collect personal data only when it is necessary to process a freight inquiry, manage a client account, or operate this website. This includes name, email address, company name, phone number, and shipment details submitted via contact or inquiry forms.

We also collect standard web analytics data — including IP address, browser type, and pages visited — to maintain site security and improve performance. This data is processed in aggregate and not linked to individual identities.

The legal basis for processing personal data submitted through freight inquiries is the performance of a contract or pre-contractual steps. Web analytics data is processed on the basis of our legitimate interests in operating a secure, functional website.

2. How We Use Your Data

Personal data submitted through this website is used exclusively to respond to freight inquiries, establish and maintain client accounts, process shipment instructions, and fulfil our contractual obligations under applicable freight agreements.

We do not use your personal data for unsolicited marketing. If you have an existing client relationship with AWAN, we may send you operational communications directly relevant to your shipments or account status.

3. Data Sharing

Your personal data is never sold, rented, or disclosed to third parties for commercial purposes. Data is shared only with the operational partners directly required to execute your shipment — including freight carriers, customs brokers, port agents, and bonded warehousing operators.

All third-party partners engaged by AWAN are contractually obligated to process your data only for the specific purpose of fulfilling the relevant logistics service and to maintain appropriate security standards. We do not permit partners to use your data for their own marketing purposes.

Where data is transferred outside the UK or European Economic Area to fulfil an international shipment, such transfers are conducted under appropriate legal safeguards including standard contractual clauses or equivalent mechanisms recognised under applicable law.

4. Retention Periods

Client account and shipment records are retained for a minimum of six years from the date of the last transaction to meet UK tax and commercial record-keeping obligations. Inquiry data from non-converting contacts is deleted within 12 months of the last communication.

Website analytics data is retained in aggregate form only and is not associated with identifiable individuals beyond 26 months. Server access logs are retained for 90 days for security purposes and then deleted.

5. Your Rights

Under UK GDPR and applicable data protection legislation, you have the right to request access to, correction of, or erasure of personal data we hold about you. You may also object to or restrict certain processing, and request that data be transferred in a portable format.

To exercise any of these rights, contact our data team at support@awanlogistics.com. We will acknowledge your request within 72 hours and respond in full within 30 days. Where requests are complex or numerous, we may extend this period by a further 60 days and will notify you accordingly.
